This privacy policy explains how personal data is processed when using waermepumpen-guide.ch and when referring heat pump requests. In particular, the Swiss Federal Act on Data Protection (FADP) applies. Where the European Union's General Data Protection Regulation (GDPR) applies, we also take its requirements into account. For cookies and similar technologies that are not technically necessary, we observe the applicable rules, including the Austrian Telecommunications Act 2021 (TKG 2021).
1. Data controller
The data controller is:
schobel digital GmbH
Hauptstraße 26
6973 Höchst
Austria
E-mail: anfrage@waermepumpen-guide.ch
2. Visiting the website
When accessing the website, technically necessary data is processed. This may include IP address, date and time, requested address, referrer, browser and operating system information, device data as well as technical request and error data. The processing serves the secure and stable provision of the website, error analysis and protection against abuse.
3. Heat pump requests
If you submit a request, we process the project, address and contact details you enter. These may in particular include the following information:
- building type, ownership structure, existing heating system and heat distribution;
- heated area, household size and desired timeframe;
- Street, postcode, town and country;
- First name, last name, email address, phone number, availability and optional remarks;
- technical origin and attribution data such as timestamps, form and conversion IDs, ad click identifiers, session attributes, IP address and user agent.
We process this data to accept your request, carry out any required confirmation, determine suitable specialist installers, forward the request, inform you about the processing status, answer follow-up questions, and ensure quality and protection against misuse.
Where the GDPR applies, processing is based in particular on taking pre-contractual steps, your consent where obtained, and our legitimate interests in operating a secure and traceable referral service.
4. Confirmation, referral and specialist installers
Depending on the process, we will send you an email to confirm your email address or request. After confirmation or finalisation, we can pass on the necessary request and contact details to up to three suitable heat pump specialist installers. These companies may contact you by email or telephone for project clarification and quote preparation.
The selected specialist installers process the received data for their own consultation, quote preparation and possible contract management under their own data protection responsibility. Which companies have received a specific request can be seen from our notification or your request history.
5. Procasito, communication and contact verification
We use our own CRM system, Procasito, to handle requests in a structured way. It processes data relating to requests, contacts, status, confirmation, assignments and message delivery, among other things.
Transactional emails are sent via Postmark, a service provided by ActiveCampaign, LLC. In doing so, the recipient, message, and technical delivery data required for delivery are processed.
For quality and abuse checks, contact details can be technically verified for format, reachability, or plausibility. For phone numbers, verification services provided via RapidAPI can be used for this purpose. In doing so, the phone number and, in the case of an additional search check, the surname may be processed. Email addresses can be checked through technical format, DNS, and mail server checks as well as based on delivery events.
6. Cookies and consent management
We use cookies and similar technologies. Technically necessary technologies are used to ensure the website functions securely and to store your data protection preferences. Other services are only activated after your consent, where consent is required.
We use Real Cookie Banner to manage consent. You can view and change your choices at any time in the cookie settings. The consent dialogue shows the current descriptions of services, purposes, providers, retention periods and data transfers.
7. Analysis and marketing services
Depending on your selection in the consent dialog, the following services may currently be used in particular:
- Google Tag Manager, Google Analytics and Google Ads;
- Hotjar;
- Meta Pixel;
- LinkedIn Insight-Tag;
- TikTok Pixel;
- Taboola.
These services may process usage, device, browser, network and interaction data as well as online identifiers. Details and the current list of services can be found in the cookie settings.
8. Recipients and processors
Personal data may be made accessible to the following recipient categories to the extent required for the respective purpose:
- up to three heat pump specialist installers selected for the specific request;
- hosting, IT, security, CRM and support service providers;
- email and communication service providers, in particular Postmark;
- Contact checking, analysis and marketing providers, to the extent that their use is required or permitted by you;
- Authorities and other bodies if there is a legal obligation or if this is necessary for the enforcement of the law.
Service providers who process data on our behalf are contractually obligated and only receive the data necessary for their task.
9. Processing abroad
Individual service providers or their subcontractors may process personal data outside Switzerland or the European Economic Area, particularly in the USA. Where no adequate level of data protection is recognised for a recipient country, we base the transfer on suitable guarantees, in particular recognised standard contractual clauses, or on a statutory exception. Despite such protective measures, foreign authorities may access data under their law.
10. Storage duration
We store personal data only for as long as necessary for the purposes described, the processing and documentation of the request, the safeguarding of legitimate interests, and statutory retention and proof obligations. Thereafter, data are deleted or anonymised unless there is another legal basis for retention. The storage duration of individual cookies and external services is indicated in the cookie settings.
11. Data security
We take appropriate technical and organisational measures to protect personal data, including access restrictions, encrypted transmission, logging, and security checks. However, absolute protection in electronic communication cannot be guaranteed.
12. Your rights
Under applicable data protection law, you may in particular request access to, rectification of, erasure of, restriction of, or transfer of your personal data, and object to specific processing. You may withdraw any consent given at any time with effect for the future. These rights may be subject to statutory conditions and limitations.
Please direct requests to anfrage@waermepumpen-guide.ch. To prevent unauthorised disclosures, we may require proof of identity.
